Final Abstract Upload — Frequently Asked Questions

This page collects the most common questions we have received from authors regarding the final (camera-ready) abstract upload for the DH2026 Book of Abstracts. Please review the relevant section before contacting the committee — most issues can be resolved in a few minutes by following the steps below.

For background, please refer to the original instructions sent to all accepted authors, and the two systems involved:


Q1. How can I change the title, author list, or affiliations of my submission?

You can update all submission metadata yourself directly in ConfTool — there is no need to contact us.

  1. Go to the Final Upload page for your submission in ConfTool.
  2. Do not upload a DHC file yet. Scroll down to the "Information on This Contribution" section and edit the relevant fields (title, authors, affiliations, etc.).
  3. To reorder authors, use the arrow buttons in the Author(s) list to move entries up or down.
  4. Click "Save Data Without Uploading Files" at the bottom to save your changes.

After saving, return to DHConvalidator and download a fresh template — the updated metadata will be reflected automatically. You can then proceed to generate and upload your final DHC file.


Q2. Is the .dhc file upload mandatory?

Yes. The DHC file upload through DHConvalidator (and subsequently into ConfTool) is mandatory for inclusion in the Book of Abstracts. Please make sure to complete this step by the deadline.

Note that DH2026 does not require full papers — the .dhc file is the camera-ready version of your abstract, which will appear in the official Book of Abstracts. After acceptance, resubmission in DHC format is required regardless of whether you made further revisions.


Q3. The "Generate Templates" button does not seem to work, or the template won't download.

Please try the following:

  • Use a different browser (Chrome or Firefox recommended), or clear your browser cache.
  • Disable pop-up blockers and download restrictions for the DHConvalidator site.
  • Check your browser's default download folder — the file may have downloaded silently.

Q4. How should I work with the DHConvalidator template? What are the gray-shaded sections and the DH- styles?

The DHConvalidator template (.docx / .odt) includes two kinds of areas, and using them correctly is essential for a clean conversion to TEI:

  • Gray-shaded sections contain metadata (title, authors, affiliations, keywords) drawn from ConfTool. These areas are locked and cannot be edited in the template — they will be processed automatically during the TEI conversion. To change any of this information, edit it in ConfTool first (see Q1) and then download a fresh template.
  • Editable body sections are where you write your abstract content. Body text must remain inside the gray-shaded content area of the template; text placed outside it will not be processed and will be missing from the final output.

For all editable content, please use only the paragraph styles provided by the template, named DH-[Stylename] — for example, DH-Heading1, DH-Heading2, DH-BodyText, DH-Quote, DH-Caption. Using Word's default styles or applying manual formatting (font size, bold, etc.) will cause the conversion to misinterpret the document structure (e.g., every paragraph being treated as a separate heading).

DHConvalidator also provides a sample .docx file demonstrating the correct structure. We recommend comparing your file with the sample if you encounter any formatting issues. If the problem persists after these adjustments, please send us your .docx file and we will look into it.


Q5. My references section is labeled "Appendix A" instead of "Bibliography." Is this an error?

No — this is the default heading set in the DHConvalidator template and is intended behavior. It will be handled correctly during the TEI conversion and Book of Abstracts compilation. No action is needed on your end.


Q6. Can I inspect the contents of my .dhc file before uploading?

Yes. A .dhc file is simply a ZIP archive — change the extension from .dhc to .zip (or open it directly with any archive tool such as 7-Zip, WinRAR, or macOS Archive Utility). Inside you will find the TEI XML, an HTML preview, the original DOCX, and a Pictures/ folder containing all embedded images.
